Before you start!
When you come to writing it, you need to make sure that you have all the information needed beforehand, and one of the most important things to know is what your contract states as your notice period. For the most part, the notice period is between 2- 4 weeks, but this varies between companies! This will tell you what your earliest end date can be.

Who to address it to?
How to start?
Now onto the hard bit; finalizing your departure. To start with, you want to be blunt and clear about what is happening. Just be as simple as possible with all the correct information. While some people change their titles for ease in conversation, make sure you write down your official title that is stated in your contract. As for the date, write this as a long form version, for example 14 September 2024, as this, while we hope it never happens, cannot be altered.
‘I am writing to inform you of my decision to resign from my role as [Job Title] at [Company]. My last working day will be [long form date].’
What else should I put?
Now you have got the important part out of the way, you can add your own touch. It is always best practice to talk about your time at the company and the parts you have enjoyed. You don’t need to go into detail, but always say something nice.
- Any skills you’ve learnt
- How being at the company has helped you succeed
- What have you been able to develop
- The opportunities you’ve been given
‘Through my time at [company’s name], I have had many opportunities to expand on my [skill] and have always felt supported by the company in my development in [skill]. I have enjoyed my time with [company] and am proud to have been part of such a wonderful team.’
How do I end it?
Ending any letter or email is always hard, but the best practice is to help in finding your replacement or handing over roles. While many places may not take you up on the offer, it shows that you leave with no ill-will and want to continue to support the company however you can.
‘Please let me know how I can be of help during this transition period, and I wish you and the company the very best going forward.
Sincerely,
[First Name, Last Name]
[Short Form Date]’

Extra information
- Your resignation letter is yours, if you put the most important part of the letter, your intention to leave and the date, which is enough but think, will this letter affect any references needed for future employment?
- Much to popular belief, you never need to state why you are leaving, or where you are going after your employment. While you may feel the need to justify yourself, anything past your employment with them, does not need to be shared.
- Your resignation letter doesn’t need to include negative comments about colleagues or managers at the company. The letter is meant to conclude your tenure, not blame others for incomplete tasks.
- Keep a copy for yourself, whether printed or emailed, always have one on hand for future use. Whether that is to leave a future job, or just a receipt of your end dates; it is always handy to have.
